FAQ (Frequently Asked Questions)
Q1: What should I do first to get a job on campus?
A: You should prepare to bring the documents to school with you that are necessary for employment. The most critical documents are the W-4 form required by the IRS and the I-9 form required by Homeland Security (formerly of INS). The W-4 may be completed and brought with you to campus- click here to print the W-4 Form. The I-9 requires that an authorized representative of the University's Office of Financial Aid (open Monday through Friday from 9am to 5pm and Freshman Move In Day- August 23rd, 2008 from 9am to 2pm) witness the original documents you bring to campus, therefore only Section 1 of the I-9 form may be completed before arriving on campus. Do NOT complete Section 2 of the I-9; determine which original documents you will provide for Section 2 before you arrive- please click here to print the I-9 Form. Eastern does not keep your documents, we only witness the apparent validity of your documents. You will also need a valid Student Employment Work Contract before you may begin any work on campus (see Question 3 for more information about work contracts).
Q2: Where do I look for a job on campus?
A: You may begin searching for a job opportunity by checking out the Open Position Listing posted further on this web page. The Listing is updated any time a department notifies the Student Employment Coordinator of an open job position. You may also check the Waterwheel for open positions and when school begins, jobs openings are often posted around campus and on the school news screens.
Q3: When I see a job I want to apply for, what do I do?
A: You may begin contacting potential departments to set up an interview but you will not be permitted to have a contract unless you already have a valid W-4 and I-9 form on file. Returning students who are currently enrolled for the fall term and already have a W-4 and I-9 form on file will be provided a work contract via campus mailboxes when the fall term begins. New Students will be sent a contract within 5 school days after submitting the W-4 and I-9 forms. Students are permitted to work only one job on campus. Job hopping is discouraged. Please scroll down to visit the Open Positions section of this page.
Q4: Am I required to work a minimum amount of hours per week?
A: No, students are not required to work a minimum amount of time. They are restricted to a MAXIMUM of 20 hours per week during any academic term for which they are enrolled.
Q5: Am I required to earn my full Federal Work Study award amount?
A:No, students are not required to work. The Federal Work study program is a self-help program and can be declined at any time. However, if a student has already earned FWS wages, the award can only be decreased to the amount of wages already earned. Students should inform the Office of Financial Aid by email or letter if they wish to decline or reduce their FWS award amount.
Q6: What difference does it make if I don't tell the Financial Aid Office that I won't be using my Federal Work Study award amount?
A:The Office of Financial Aid uses the information supplied to determine the availability of FWS funds for other students. You are helping fellow students by keeping the Office of Financial Aid informed of your plans.
Q7: Is there a deadline for work contracts for Federal Work Study?
A:Yes, the deadline is September 30, 2008. Since funding is limited, the deadline enables the Office of Financial Aid to predict disbursements. The FAO uses this information to determine availability of funds for other students.
Q8: How does a student qualify for Federal Work Study?
A: The Federal Work Study program is need based and eligibility is explained in the Financial Aid web pages and in the Student Handbook.
Q9: What does FWS and/or ECE mean?
A:FWS stands for Federal Work Study. FWS are Federal funds that are awarded to students based on their financial need according to their FAFSA. Students that are eligible for FWS will see the award listed on their most recent award letter from the Office of Financial Aid. If you are not eligible for FWS, then you are automatically eligible to work through ECE, which stands for Eastern Campus Employment. ECE funds come directly from the departments budget where you work.
