Position: Clerical Assistant

Reporting to the Academic Assistant of the School for Management Studies, the Clerical Assistant serves the members of the SMS team (faculty and staff) in a variety of clerical duties.

Position Responsibilities

1. Performs office duties as assigned. Office duties include filing, answering the telephone in a professional manner, photocopying and distributing correspondence and other pieces of information.
2. Assists with scheduling of SMS meetings at various site locations. This includes distributing correspondence, reserving meeting space, and when necessary, maintaining RSVP lists sending follow-up reminders and arranging for equipment, refreshments, etc.
3. Assists with maintaining faculty credential files and distributing correspondence to this effect.
4. Administers CLEP test as assigned.
5. Maintains list of departmental supplies needed.
6. Travels to other SMS sites for deliveries on emergency basis.
7. Provides clerical support for the faculty and staff of SMS.
8. Prepares file folders and maintains files.
9. Completes word processing and light editing of curriculum and / or departmental newsletters, as required.
10. Assists the Academic Assistant in scheduling meetings, communicating with team members, and responding to correspondence.
11. Maintains and updates web pages of the department and its faculty.

Status: Staff, part-time, hourly, non-exempt, 20 hours per week, 52 weeks per year
 
Knowledge, Skills and Abilities

Positive phone manner and customer service orientation, computer literacy (IBM/Microsoft Office) and a keen attention to detail are required. Ability to work independently to attain goals and the ability to maintain confidentiality of sensitive information are essential. Clerical / secretarial experience preferred. Bachelor’s degree is preferred.
