Position Summary
Reporting to the Institute President/Dean, the Executive Administrator/Executive Assistant is a strategic, visionary thinker that exhibits strong interpersonal skills and the ability to manage complex assignments. The primary function of the role includes providing strategic thinking in direct administrative support of the President/Dean, managing the office of the Institute and the President/Dean, and serving as a strong servant-leader and motivator for Institute staff.
Position Responsibilities
1. Advance the vision, mission and strategic endeavors of the Institute internally and externally.
2. Present a highly professional and credible reflection of the Institute and the President/Dean.
3. Represent and speak on behalf of the President/Dean and the Institute, when required.
4. Liaise with the University and People for People as well as other organizations and groups.
5. Oversee and manage Institute operations as a proactive solutions provider and advisor to the President/Dean.
6. Proactively manage the planning and strategic initiatives of the Institute and the President/Dean.
7. Design and implement office policies as well as establish standards and procedures.
8. Enhance organizational effectiveness by initiating and proposing changes in operational procedure.
9. Handle on-boarding and off-boarding of contractors and project coordinators related to Institute site preparation.
10. Track and monitor Institute budget and cost centers providing regular reports to the President/Dean.
11. Effectively represent the President/Dean in communication and correspondence.
12. Manage all calendar requests, handling prioritization and exception management.
13. Manage distribution lists including email and voicemail, as required.
14. Execute other duties as assigned by Institute President/Dean.

Status: Staff, Full-time, salaried, 40 hours per week, 52 weeks per year.
Knowledge, Skills and Abilities
Must exhibit a personal understanding of, and operate in concert with, the Mission and Doctrinal statements of the University. Strongly desired is a familiarity with and affinity for the urban programs and constituency of Eastern University and PFP. Bachelor’s degree with concentration in business required, as well as five to seven years experience in office administration. Computer literacy (Microsoft Office, Microsoft Outlook, Internet) are required. Ability to establish priorities, and attain goals; attentiveness to detail; strong written and oral communication skills; telephone professionalism and strong customer service skills are essential. A sense of humor and ability to work enthusiastically across organizations and with diverse personalities is crucial.
