Position: Plant Operations Secretary

Position Summary

Reporting to the Director of Plant Operations, the Secretary performs general secretarial tasks, maintains the work request system and coordinates/assists the Director to dispatch work request assignments.

Position Responsibilities

1. Performs general secretarial tasks as directed including processing of campus and department invoices, typing, filing, copying, E-mail distribution, and distributes mail.
2. Supports Plant Operation staff with general duties, including follow up phone calls, and ordering of materials, etc.
3. Maintains main campus key catalog, spreadsheets and keys distribution.
4. Maintains spreadsheets and logs for the following: projects, utilities, vehicles, two-way radios, updates emergency list, gasoline / vendor charge cards/accounts, petty cash drawer, etc.
5. Maintains vendor coordination such as waste removal and recycling, pest control, laundry and elevator service, etc.
6. Works closely with the Director on the requirements for all student personnel working within the department, including the hiring process, coordinating contracts with Student Financial Aid/Employment, time records, schedules, departmental procedures, postings, etc.
7. Fields all incoming telephone calls from the campus community and handles parent concerns as necessary.
8. Coordinates work request data entry, maintains work request database, and generates reports as needed.
9. Generates follow-up correspondence and communication to the origin of work requests.
10. Works with Director to dispatch staff for routine, emergency or urgent needs.
11. All other duties as directed and assigned.

Status:  Staff, full time, hourly, 12 months per year, 40 hours per week (Monday through Friday 8:30am – 5:00pm), two/three occurrences of mandatory Saturday overtime per year, 52 weeks per year.

Knowledge, Skills and Abilities

Computer literacy (Microsoft Office, Excel & databases) data entry, typing and word processing skills are required.  Proven customer service orientation, demonstrated problem solving skills, a basic knowledge of  Microsoft Access, and maintenance is a plus. A keen attention to detail and follow through, the ability to manage multiple projects and priorities and excellent telephone manners are essential.  Experience in dispatching is beneficial. Current valid driver’s license required.
