Position: Administrative Coordinator (DA Program)

Eastern University, a university of the liberal arts and sciences located in St. Davids, Pennsylvania, invites applications for the position as the Administrative Coordinator for our Falls Center location in Philadelphia. The Administrative Coordinator will provide administrative support and direction for the following domains in support of the Doctor of Arts in Marriage and Family Program:

• Marketing
• Recruiting and admissions
• Student services
• Student Aid and Student Accounts
• Human Resources and Faculty Compensation
• Academic and Program Support

Reporting to the Director of the Doctor of Arts (DA) program, the DA Administrative Coordinator (DA Admin) is responsible for  efficient operation of the DA program. The DA Admin coordinates with the recruiting staff to track each potential DA student and coordinates with the Admissions Department to assist potential students through the application and registration process in conjunction with the DA Director. The DA Admin coordinates services to meet the needs of faculty and students in the DA Residencies and facilitates services to meet the needs of faculty and students in distance learning periods in conjunction with the DA Director.

Position Responsibilities:
1) Marketing:
a) Oversees the ongoing improvement of the website
b) Evaluates the effectiveness of marketing efforts and makes recommendations
c) Tracks and evaluates DA marketing budget and marketing efforts with DA Director

2) Recruitment and Admissions:
a) Tracks students from first contacts to enrollment (deposit) in coordination with recruitment and admissions staff
b) Provides personal interaction and coaching of prospective students from inquiry to completed files and coordinates contact with DA Director were appropriate
c) Gathers files for review of the program Admissions Committee and organizes group interviews
d) Manages accepted students from acceptance to first day of class, including: acceptance letters, deposit, communication of program updates, registration, student aid, billing, and academic preparation (e.g. books, syllabi distribution, residency)

3) Student Services:
a) Completes general administrative support of functions needed for providing services to students in the program, including but not limited to, word processing, desktop publishing, database entry and maintenance, spreadsheets, filing and maintaining filing systems, record keeping, faxing, copying, purchasing, sorting mail, receiving and redirecting incoming phone calls and messages, responding to inquiries, and assisting with written and oral correspondence (including mailings). 
b) Facilitates access to services and resources of CCGPS and the University for students, faculty and administration of the DA program. 
c) Prepares purchase orders, expense reports and check requests as necessary.  Processes invoices in coordination with Purchasing and Accounts Payable.  Tracks budgetary expenses as directed by DA Director.
d) Coordinates systems and communication between the DA program and administrative departments of CCGPS and manages the DA Office in accordance with the procedures prescribed by Human Resources, Payroll, Accounts Payable
e) Coordinates and facilitates program residencies, comprehensive examinations, and thesis reviews
f) Coordinates graduation events
g) Maintains familiarity with Eastern University, CCGPS and the DA program and their mission in order to be prepared to answer questions from prospective students and external contacts, appropriately directing them for further information. 
h) Provides prompt and courteous customer service at all times.
i) Assists with special projects as needed

4) Human Resources and Faculty Compensation:
a) Maintains appropriate personnel records for faculty
b) Coordinate timely processing of teaching contracts

5) Academic and Program Support:
a) Tracks and monitors DA program budget
b) Coordinates timely faculty and student access to Blackboard
c) Distributes syllabi and other materials to faculty and students
d) Assists with faculty and student orientation

Status:  Staff, part-time, hourly, 20 hours per week, 12 months per year.

Knowledge, Skills and Abilities:
The ability to articulate and support the University’s evangelical Christian mission, a keen attention to detail, proven general administrative skills, effective written and oral communication skills, telephone professionalism and strong customer service skills are essential. Enthusiasm and a desire to work as a team are essential. Computer literacy (particularly with online course management systems such as Blackboard; and Microsoft Office); demonstrated willingness and capability to learn new skills as related to the emerging needs of the DA program; BA/BS or some college preferred. Current valid driver’s license is required as travel to acquire supplies will be necessary. Office location is the Philadelphia campus of Eastern University.
