What is Qualtrics:  Eastern University has purchased a University license from Qualtrics, a leading host of online surveys.  Qualtrics is a very powerful survey creation, launching and analysis tool.  Qualtrics has at least 19 different types of questions you can use, with libraries of pre-made surveys (21 categories, 204 surveys), pre-made questions (21 categories, 90 questions) and pre-made graphics (6 categories, 650 graphics).  As a result of Eastern’s license, full-time Eastern Faculty and PhD students are invited this year to open their own individual account in Qualtrics to use to conduct survey research related to their position and academic study at the University.
Protocols:  It is expected that all surveys done using the University license will be done to advance the mission of the institution, will be academic in nature and be done in a manner that represents the values of Eastern.  Surveys of a personal or business nature should not be done in Qualtrics.  As the Brand Administrator for our license, the Director of Institutional Research has access to all surveys and results.  Please keep in mind that all surveys or results may be reviewed at any time by the Brand Administrator.  Users must never provide their access information  to anyone else, including faculty, other students or classes.  Class accounts (for working as a class team) can be requested by contacting the Director of Institutional Research.
Any study originating at Eastern University involving the observation of or interaction with human subjects, and which results in data or generalizable knowledge that will or potentially might in the future be disseminated for public use, must be reviewed and approved by the Institutional Review Board (IRB) for the protection of human subjects.  Please see IRB forms and rules.
What kind of account can  I have?  At present, Qualtrics is being made available to Full-time Faculty and Doctoral Students.  Other members of the Eastern family will be invited to use Qualtrics beginning in 2013-14.
Everyone who enrolls under Eastern’s license begins with a QTrial account.  This level will allow you to create up to 20 surveys total, have 2 surveys active at any given time, get up to 250 responses per survey up to a total of 350 responses for all surveys combined, with each survey allowed to have up to 100 questions and send the surveys to up to 1000 people in aggregate.  Additional levels are possible, depending on your intended use of the Qualtrics tool.  Access to a higher level is automatic for PhD students and Faculty and the access code for your approved level can be obtained on the invitation email sent to you at the appropriate time.
How do I get help:  Once you have opened a Qualtrics account,  you may obtain help with using the software from several sources:
- In Qualtrics, you may click on the yellow Get Help button on the top left corner of your account page.  This will open a new window in your browser that displays options for training including watching pre-recorded training videos that are quite good. (Here is a quick link to that page:  http://www.qualtrics.com/university/researchsuite/)
- You may access the Qualtrics Users Manual on this web page.  This is downloadable manual in PDF format that is meant to be a quick start guide.
- You may contact the IR office to work with the Research Assistant.  He can be contacted at Surveys@eastern.edu and is available 20 hours per week between Monday and Friday during work hours.  Faculty and IR Office surveys are given precedence.
What if I need a lot of help:  If you are a faculty member/office or a staff office, you may request help in building, launching and interpreting your survey and results by completing the Request for Survey Assistance form found on this page.  This assistance is on a first-come, first-served basis and will only be available for research that advances the Strategic Plan or strategic decision-making of the University (and cannot be used to fulfill a class or degree requirement).
If you have any further questions, please contact Thomas Dahlstrom, the Eastern University Brand Administrator of the Qualtrics account by sending an email to email@example.com or calling him during office hours at 610-341-5898.  Thank you.
